Export User Email - Exchange 2010

General Overview
This procedure outlines the steps necessary to export a copy
of a user’s exchange email account to a PST file. Exports should occur when requested by a
supervisor, for legal holds, and upon termination of employment.
This procedure applies to all Information Systems employees
with access to the email system and responsibility for user maintenance.
The Assistant Director of Information Systems is responsible
for maintaining this procedure, and for staff training and compliance. Review of the SOP is the responsibility of

Procedure
The process of Section A involves logging into the Exchange
Server, loading the Exchange Management Shell and running the Powershell
commands necessary to export a user’s mailbox to a PST file.
Step 1 – Log in to the GSMAIL1 Server
· Server: GSMAIL1
· Protocol: RDP
· Username: ted.roo
Step 2 – Launch the Exchange Management Shell
· Right click on the Exchange Management Shell

· Run as Administrator
Step 3 – ConfIrm User Account Control
· Click Yes
Step 4 – Enter Mailbox Export Command
· Enter the command replacing <username> with the login name of the user and <date> with today’s date in
YYYYMMDD format.
New-MailboxExportRequest -Mailbox <username> -FilePath \\gsmail1\d$\Exports\<username>_<date>.pst
· The output status will show queued upon
successful execution:
Step 5 – Check Export Status
· The PST export will not notify you upon completion
and you will need to periodically check the status of the export.
· Run the following command to view export status:
Get-MailboxExportRequest
· The status will show InProgress when exporting.
Step 6 – Remove Export Request
· You will need to manually remove the request
once it has completed. Run the command
from Step 5 above to verify the completed status.
· To Remove the export request:
Get-MailboxExportRequest | where {$_.status -eq “Completed”} | Remove-MailboxExportRequest
· You will be presented with confirmation
dialog. Press “Y” to continue:
Step 7 – Verify all Requests have been Removed
· To verify all
export requests have been removed
Get-MailboxExportRequest
A
null output indicates no active requests.

Archive PST to Backup Server
After completing the steps listed above, you will need to
copy the PST file from the GSMAIL1 Exports folder to the backup folder.
Step 1 - Copy File from GSmail1
· Open the file explorer.
· Browse to D:\Exports\
· Copy the file created during the export
process. The filename should be in the <username>_<date>.pst
format.
Step 2 – Copy file to Backup Server
Copy the file to the backup server
· Open another file explorer
· Browse to \\gsbu2\archives\pst
· Paste the copied file into this location.

Remove Archived PST files
The archiving of the PST file is not meant to be
temporary. Create a reminder to remove
the PST files permanently from the system after an elapsed period or assign the
task to the system administrator.
