Disable/Terminate User Procedure
TEMPORARILY CHANGE USER PASSWORD
1. In active directory, change the user password to where GoVGW$2018!<YEAR> equals the current year, i.e 2018.
USER HAS AN EMAIL ACCOUNT
1. Export User Mailbox to PST file on Exchange Server. See the Article "Export PST file from Exchange 2010". New-MailboxExportRequest -Mailbox user.name -FilePath \\gsmail1\d$\Exports\user.name.pst
Run Get-MailboxExportRequest to check status of export.
Run Get-MailboxExportRequest | where {$_.status -eq "Completed"} | Remove-MailboxExportRequest to remove requests
2. If the user has voicemail, disable Unified Messaging or forward extension to Supervisor, discuss with Supervisor or Department Head. The users extension will not have Voicemail at this time. You can either alias the extension to a user with an existing voicemail account or you can assign the voicemail to a user without a voicemail account.
3. Setup email forwarding on the users account. You can only forward the message to one user. Verify with the user's supervisor who will receive forwarded messages.
USER HAS ASSIGNED WORKSTATION1. Grab a shadow protect image of the users workstation on or around the last day of work. Store this under \\gsbu2\archives\shadow\<PCNAME> where PCNAME is the name of the PC.
2. Ask supervisor how to handle users U: drive files.
DISABLE USER ACCOUNT
1. Disable User Account after all other tasks have been completed.
DOCUMENT
1. Email a summary of the changes to the is@cogs.us group and to the users supervisor. Add other employees to the email as needed.
STEPS REQUIRED TO TERMINATE A CITY COUNCIL MEMBER ACCOUNT
1. Set email password to temporary password
2. Login to Dropbox and backup non-shared documentation.
3. Cancel Dropbox Account
4. Login and Cancel Evernote Account
5. Backup Email PST file from server
6. Remove email account
7. Delete User Account from Active Directory
8. Disassociate ipad from user account in TrackIt
9. Delete TrackIt User Account
