Setup a User Mailbox After O365 Implementation
Step 1 – Create User in Active Directory
Login to GSDC1
Open Active Directory
Navigate to the correct OU (ex. City of Glenwood Springs – Users – IS)
Click the “New User” button in the top ribbon

Fill in the fields with the user information and hit next
Create a password and uncheck all boxes. Finish the setup.
Open the user properties for the new user and an existing user who has similar job duties (the form requesting the account should include this information).
Click through the six tabs on the bottom row and copy paste logical information, filling in information where needed.Click Apply.
Navigate to the “Member Of” tab and add the new user to the required groups. Click Apply and OK. Close the other user properties box.
Repeat for additional users if necessary.
Step 2 – Assign a License in O365
Login to portal.office.com
Click Admin
Search for the User that you created (AD Sync happens every ~30min)
Add User to the "Helpdesk Users" group
Add the correct licensing group to the user (E3 for users with a PC, E1 for users with shared PC needing access to docs and calendars, Exchange only for users who just need mail, Intune if they have a city mobile device)
Ensure that the license is assigned to the user after a few minutes
Allow time for the mailbox to be prepared (you can check the status by clicking “Mail Settings”)
Step Three – Link the mailbox to GSMAIL1
Login to GSMAIL1
Open Exchange Management Console
Login to the pop-up box with your Office 365 credentials
Open Exchange Management Shell

Paste in this script with the user name you created in step one inserted instead of <user.name>:
Enable-RemoteMailbox -Identity "<user.name>" -RemoteRoutingAddress "<user.name>@glenwoodsprings.mail.onmicrosoft.com"
Hit Enter
Your output should look like this:

Navigate to Microsoft Exchange On-Premises – Recipient Configuration – Mail Contact

Find your user and right-click then click Properties
Click Email Addresses
Uncheck the box that says “Automatically update e-mail addresses based on e-mail address policy”
Ensure that the "@cogs.us" address is highlighted as the Set as Reply address and the "@glenwoodsprings.mail.onmicrosoft.com" is the Routing Address (For PD add a "FirstInitialLastName@glenwoodpolice.com" address and use that as the reply address instead of the "@cogs.us" address, but don't delete the "@cogs.us" address)
Click Apply then OK
Allow time for Active Directory to sync with Office 365 and then confirm that the address is set correctly in the Office 365 User Properties
