How to Setup Skype for Business Meeting
Overview: How to setup a Skype for Business meeting in Outlook, in conjunction with the conference phone in the conference rooms at City Hall, and as well as using video equipment to facilitate remote meetings/interviews.

Helpful tips:
*Always check the rooms availability before scheduling meetings. The rooms are setup on first come first serve basis.
*Setting up the location with the conference room desired will automatically create an event in the calendar for that room. Creating an event in the calendar before setting up your Skype meeting email will result in denial and technical issues. If you know you need the room, but don't have all the information required to properly setup the Skype meeting you can fill in the subject and room location as a place holder. Then once you have all the information you can go into the calendar, edit the meeting, and resend it.
*Give IS staff at least 24hr notice if you require video capabilities, due to the need to setup and verify its functionality.
*The user whom sets up the Skype meeting must be in attendance, if using video equipment (ie: interviews)

Creating a New Skype Meeting for remote meetings and interviews:
1. Open Outlook, and navigate to the Calendar tab.
2. Find "New Skype Meeting" on the top ribbon

3.Fill in details as normal. (recipients, subject. time/date, email body)
Note: In the body of the email will be a auto-generated hyperlink for the meeting that the recipients will use to join.

4. Select a conference room associated with where the meeting will be held by clicking rooms..

5. Add the room by double clicking or by selecting the room and then clicking rooms on the bottom left, next click OK
Note: The room selected will be added to the recipients list

6. Once everything is filled out click send in the top left.
Note: you can check on the meeting created by checking your calendar and the calendar of the room you set as the location.
